Privacy Policy

The short version. HTX Hockey is a coaching platform used by youth hockey organizations. Coaches and parents enter the data; we store it securely, show it only to people the organization authorizes, and never sell it or use it for advertising. Player information about minors is handled with extra care, and parents stay in control of it.

1. Who we are

HTX Hockey LLC ("HTX Hockey," "we," "us") provides software that hockey organizations ("organizations") use to manage rosters, games, evaluations, training, and team communications. In most cases we process information on behalf of the organization your player belongs to — the organization decides what is collected and who on its staff can see it.

2. Information we collect

From coaches and organizations: staff names and contact details, rosters (player name, jersey number, position, birth year), game and practice data, player evaluations, fitness testing results, training assignments, and related team records.

From parents and legal guardians: your name, email, and cell number; your consent choices; and, only if you choose to provide them, your player's email and cell number.

From players (with parental consent): self-reported items their organization enables, such as fitness test results, workout completion, personal development goals, links to their own game or training videos, and messages in team channels — accessed through a private link and PIN provided by the organization. Player Hub PINs are stored only in encrypted (hashed) form and are never displayed or sent by email.

Automatically: basic technical records needed to run and secure the service (such as authentication events and timestamps). We do not use advertising trackers.

3. Children's information

HTX Hockey is designed for use by adults — coaches, organization staff, and parents/legal guardians. Players do not create accounts. Where a feature lets a player view or enter their own information (for example, the Player Hub), access is provisioned by the organization and gated by the parental consent collected through our consent form.

Consistent with the Children's Online Privacy Protection Act (COPPA), we collect personal information about children only as directed by the organization and with parental consent, we use it solely to provide the service (never for marketing to children), and parents may review, correct, or delete their child's information, or withdraw consent, at any time — contact your organization or email us directly (Section 10).

4. How information is used

To operate the platform: rosters and scheduling, team communications, evaluations and development tracking, fitness and training tools, and printable reports the organization generates. We also use limited information to secure accounts, provide support, bill organizations, and improve the service. We do not sell personal information, and we do not display advertising.

5. Communications & SafeSport

Team messaging tools follow U.S. Center for SafeSport and USA Hockey guidance: communications are professional and group-based, always including all parents/guardians or all coaches — never private one-to-one adult-to-minor messaging. In-app team messages are visible to all organization staff by design, individual player channels require a witness (parents receive email copies, or all coaches are included), and messages are retained as an auditable record — staff may hide a message from view, but the underlying record is preserved. If a player or parent enables push notifications, the device's push service (Apple or Google) delivers short message previews; notification subscriptions can be turned off at any time in the device or browser settings.

6. Who can see the information

Access is controlled by the organization: coaches and staff see the teams they are authorized for; parents receive private links for their own player; players see only their own information through their personal link. Certain notes can be restricted by the organization to designated staff only. We enforce these rules in the database itself, not just on the screen.

7. Service providers

We use a small number of vendors to run the service — cloud database and hosting (Supabase, Vercel), payments (Stripe), and message delivery (email and SMS providers). They process data only to provide those services to us. We do not share personal information with data brokers or advertisers.

8. Retention & deletion

Data is retained while the organization's subscription is active. If a subscription ends, the organization's data remains available in view-only form for a limited grace period (currently 45 days) and may be deleted afterward. Team messages are retained for the same period as part of the organization's auditable communication record. Parents may request deletion of their child's personal information at any time as described in Section 3.

9. Security

Data is encrypted in transit, protected by row-level security rules in the database, and accessible only through authenticated, role-based permissions. Private links use unguessable tokens, and player access additionally requires a PIN. No method of storage is 100% secure, but we design access from the ground up so people can only see what they are meant to see.

11. Changes to this policy

If we make material changes, we will update the version and effective date at the top of this page, and notify organizations through the app.
